Private customers
Your customers are other businesses. PayMe works for that too.
PayMe Gov was built for suppliers to government, but most of it is simply how a careful business keeps track of who owes it money. You do not have to work for government to use it.
When you set up your company, tell PayMe it sells to private customers only. The government screens - supplier readiness, tenders and official forms - are left off your menu, and what is left is the part every business needs: invoices, payments, promises, contracts, documents and your books.
If you later take on government work, change the setting and the rest appears. Nothing is deleted either way.
What is different
A private customer is not a government department
Two things change when the business that owes you is a private one, and PayMe treats them differently on purpose.
- The payment date comes from your own agreement. The thirty-day rule that binds government departments does not bind a private company, so PayMe works from the payment terms you record - and where you have recorded none, it says so instead of assuming thirty days.
- PayMe has not checked your customer. A government body is matched against a public register; a private business is a name you gave PayMe, and every screen says so.
- It is for money one business owes another. PayMe is not a debt collector, takes no money on your behalf, and is not for chasing individuals.
What you can use
What works for a business with private customers
Each of these says how much of it exists, in the same words the rest of this site uses.
For businesses with private customers
Ready to use, limits listed. You can use this today. What it deliberately does not do is written beside it.Use PayMe for customers who are other businesses, not only for government. Tell PayMe your company sells to private customers and it leaves the government-only screens off your menu. For a private customer, PayMe works out the payment date from the payment terms you record, because no government payment rule applies to them. Save a customer once - name, address, VAT number and a contact person - and their details fill in on each new invoice. It is for money one business owes another: PayMe is not a debt collector and is not for chasing individuals.
Writing and issuing an invoice
Ready to use, limits listed. You can use this today. What it deliberately does not do is written beside it.Write an invoice on a case line by line, and PayMe works out the VAT and the total to the exact cent, lists anything still missing - your confirmed company details, your VAT status, your banking details - and then numbers it and produces a PDF you can download. An Owner or Admin issues it, using two-step sign-in. PayMe can then email it to your customer - a department or another business - once a person approves the exact message, recipient and attachment - the same approval as a follow-up - or you can send it yourself.
What has been paid, and what has not
Available now. You can use this today.Record each payment as it arrives and see the outstanding balance. A payment entered wrongly is reversed rather than edited, so the record of what you believed at the time survives.
Contracts with advances, retention and progress claims
Available now. You can use this today.Record a contract, its variations, advances, progress claims, certificates and retention. PayMe works out what is payable now on each claim from the figures you record, and keeps money you already have apart from money you are owed. PayMe has not read your contract.
Reports with charts, from your own records
Ready to use, limits listed. You can use this today. What it deliberately does not do is written beside it.See this month against last month and last year, the money expected in and out over the next twelve weeks, what each payer owes and how long since its payment date passed, what became of promises, when invoices were paid, and where your money went. Print a report or download it as a PDF. Every figure comes from what you recorded; PayMe gives no payer a score or a ranking, and it works out no average.
One place for every company document
Ready to use, limits listed. You can use this today. What it deliberately does not do is written beside it.Keep your company documents in one place - your registration, your tax clearance, your B-BBEE certificate, your bank letter - so the same certificate does not have to be found again every time. Upload a newer version and PayMe keeps the old one, so work that used it still points at what was actually sent. When somebody asks for them, email documents straight from the vault, in your company’s name - from your own sending address once you choose one. PayMe stores and organises what you give it; it does not read your documents or check them with any issuer.
More than one company under one login
Available now. You can use this today.Add another company to your PayMe login and switch between them. Each company keeps its own records, its own people and its own plan, and nothing is shared between two companies except your login.
Your logo and colours on your invoices
Ready to use, limits listed. You can use this today. What it deliberately does not do is written beside it.Add your logo, choose one of three layouts and a colour, and add your own wording to the invoices PayMe writes for you. It applies to invoices you issue after you set it; an invoice already issued keeps the look it was issued with.
